Job Description

  • Assisting the Property Manager in respect of all administration requirements including the typing of agendas, minutes of meetings, circulars to owners and letters to clients, etc.
  • Scheduling of Trustees Meetings and Annual General Meetings in conjunction with the Trustees in respect of the date and time, arranging the venue and preparing and circulating the meeting documents.
  • Ensuring that the minutes of the meetings are pasted in the Minute Book, updating MRI, the Trustees distribution list and building file.
  • E-mailing / faxing debit order authorisation forms to all owners who do not pay by debit order for completion and capturing of the debit order details on MRI. A copy of the debit order authorisation is to be given to the Debtors Administrator for processing on FNB.
  •  Attending to all transfer requests received within 1 day of receipt of the request from the Attorney. This includes e-mailing the Attorney the Transfer Letters, generated on MRI.
  • E-mailing the Levy Clearance Certificate / Consent to Transfer to the attorney within 1 day of receiving the completed conveyancer’s questionnaire, the Levy Clearance amount having been paid into the Trust Account or an undertaking to pay same has been received.
  • Updating the comments in respect of transfers that have not been registered by the ‘Levy Clearance Valid to’ date.
  • Vacating the previous registered owner and loading the new owner/s details, including contact details on MRI within 1 day of notification of registration of transfer.
  • Advising the Meter Readers of the new owner details and the date from which electricity, water and sewerage is to be charged to the account.
  • Reconciling the levy account of the previous owner and recovering any shortfall from the attorneys or refunding any credit balance due to the owner or to the attorneys.
  • Filing of all documents pertaining to the transfer in the transfer cabinet.
