Manages office tasks, such as filing files, assisting in finalizing reports and presentations, organizing meetings and providing supplies and other work materials.
• Provides real-time scheduling assistance by arranging appointments and avoiding calendar conflicts.
• Manages petty cash in accordance with Palladium rules and regulations
• Maintains an up-to-date materiel inventory of all project-related purchases and, where applicable,
• Liaises with the Accra-based Finance Office
• Collaborates with technical staff to organize conference/meeting venues, equipment and materials (data projectors, flip charts, notebooks, meals/snacks, reports, etc.) for conferences and meetings.
• Organizes and coordinate travel and logistics for technical staff and visitors
• Transfers phone calls to the appropriate people.
• Writes meeting reports and minutes
• Maintains professional communication with staff and visitors and ensure daily completion of timesheets
• Anticipates the needs of technical staff in office equipment and logistics
• Performs any other duties assigned by technical staff in accordance with their duties.
Required Qualifications
• Diploma in Secretariat, Management of Organizations or equivalent
• Experience in administrative management
• Very good knowledge of Togo's health system and key stakeholders.
• Excellent computer skills and attention to detail and quality
• Good verbal and written communication
• Proactive attitude and desire to create a positive experience for others
• Being bilingual (French-English) is required
